Vendor Registration
Hello Vendors,
How are you all?
We are sharing an important update regarding the Deafopia Events Vendor Registration Form and booth fees, effective August 8, 2026.
Deafopia Events has made some changes to our program to continue supporting as many Deaf-owned businesses as possible. Due to changes in the economy and the increasing costs of hosting events, we need to make adjustments so Deafopia Events can continue operating and providing opportunities for Deaf-owned businesses to participate, promote their businesses, and sell their products and services.
Updated Booth Fee Program
In the past, Deafopia Events was often able to provide free booth spaces. Unfortunately, our available funds are now very limited, and we can no longer maintain that approach for every event.
Going forward, we will charge a booth fee to help cover some of the costs associated with our events, including:
- Venue expenses
- Tables and chairs
- Event-related expenses
- Social media content creators and promotional appearances
- Other costs necessary to help bring more people to our events
Our goal is still to keep booth fees as affordable as possible so Deaf-owned businesses can maximize their profits and benefit from participating in our events.
Booth Fees Depend on the Location
Booth fees will vary depending on the event location, venue costs, and sponsorship support.
For example:
- Washington, DC or New York: Booth fees may be around $200 because of higher venue and rental costs.
- Kansas City or Indianapolis: Booth fees may be around $100 or less, depending on the location and event expenses.
These are only examples. Actual booth fees will be announced for each event.
If we receive significant sponsorship funding for an event, we may be able to lower the booth fee or, in some locations, offer free booth spaces.
We will announce the booth fee for each event through email so you can decide whether you would like to secure a booth at that location.

Important: Vendor Registration Confirmation
When you complete the vendor registration form, you will be asked to provide your information, including credit card information.
Your credit card will not be charged until we receive your confirmation.
However, please carefully review your registration before submitting the form.
Once you enter your information and click Submit, your booth registration will be considered confirmed.
Please do not submit the form if you are not sure about participating. If you have questions about the event, location, booth fee, or anything else, please contact us before submitting the form.
Cancellation & Refund Policy
If you need to cancel your booth, you must notify us at least 14 days before the event.
- Cancellations received 14 days or more before the event will receive a full refund.
- Cancellations received less than 14 days before the event are non-refundable.
Please make sure you are certain about participating before submitting your registration.
Booth Cleaning Fee
Depending on the venue, a $150 cleaning fee may be charged if your booth area is left dirty or with trash after the event.
Please make sure you clean your booth area before leaving, including removing trash and cleaning up any mess or debris.
If your booth area is properly cleaned, there will be no cleaning fee.
We sometimes have to pay professional cleaning crews to clean the venue, so we appreciate your cooperation in helping us keep our event spaces clean.

These changes are being made so Deafopia Events can continue to operate and support Deaf-owned businesses for many years to come.
We want to continue bringing large crowds to our events, creating opportunities for Deaf-owned businesses to promote themselves, make sales, connect with customers, and grow their businesses.
